Position Description

America Votes is seeking a full time Staff and Program Assistant for the national office located in Washington, DC. This position will report directly to the Managing Director and will be responsible for a wide variety of duties including day-to-day support of the Managing Director, meeting and event logistics management, coordinating the hiring and initial onboarding process, and supporting in-house communications and materials/presentation production. Additionally, the Staff and Program Assistant will have a substantial role in logistics and event management for the annual America Votes State Summit. Applicants should be comfortable working in a small, fast-paced, team oriented office and demonstrate flexibility, extreme attention to detail, and a commitment to progressive values and policies.

Supporting the Managing Director on a day-to-day basis with various tasks as needed, including scheduling and other administrative tasks.

Handling logistics and providing support for all staff meetings, board meetings, trainings and retreats.

Assisting with website updates, creating, editing and distributing a variety of documents and presentations for internal and external use.

Coordinating the hiring process, including scheduling candidate interviews, distributing and collecting new hire paperwork, and organizing orientations.

Oversee the internship program by hiring, training, and managing one to four interns.

Supporting the Managing Director in planning and executing the annual America Votes State Summit, a two-day conference that attracts more than 500 attendees from across the country (see


Works well with people from diverse backgrounds. Experience working with communities of color preferred.

Demonstrated logistics management experience.

Extreme attention to detail.

Proficiency in MS Office Suite, including Word, Outlook, Excel, and PowerPoint.

Excellent writing and editing skills.

Ability to prioritize and handle variety of projects simultaneously.

Ability to communicate effectively and work well under pressure while remaining detail oriented and meeting deadlines.

Ability to work independently, exercising good judgment and discretion.

Knowledge of and a strong commitment to progressive causes preferred.

An Ideal Candidate will have

1-3 years work experience (executive administration experience a plus).

Proficiency in Word Press or similar platforms.

Experience in event planning.

Interest in hiring and onboarding systems.

An eye for visual formatting.

A sense of humor.

Spirit of service.


Salary is commensurate with experience $38K-$45K. Dynamic benefits package including health, dental, and vision insurance as well as a 401K.
